Fee management

Somewhere in your fee register is ₹2–5 lakh you can't see.

Not stolen. Not even lost. Just scattered — a few overdue students per class, a few thousand rupees each, invisible until the year-end scramble. Clicknify puts every student's fee status on one screen, takes payment at the counter or on a parent's phone, and hands you the day's total every evening.

Nobody stole it. It just never got totalled.

Paper registers don't lose money — they scatter it. Here's the same school, run both ways.

The register way
  • One register per class. Nobody totals overdue across classes until March.
  • A receipt gets issued; the due column doesn't always get updated.
  • Concessions agreed in the principal's office, applied from memory at the counter.
Total outstanding: discovered in March.
The Clicknify way
  • Every student's outstanding on one screen — search a name, see the balance.
  • One ledger. The counter and the parent portal write to the same fee lines.
  • Concessions attached to the fee line itself — applied automatically, shown to the parent before they pay.
Total outstanding: known today.

Two counters, one ledger.

The front office and the parent's phone draw from the same fee lines — so there's never a second book to reconcile against the first.

Collect at the counter

Search the student, tick the fee lines, take Cash, UPI, Card, or Cheque. The receipt prints on any 80mm thermal printer — we test on the Epson TM-T82 — or goes straight to the parent's WhatsApp.

Parents pay from home

Razorpay-powered UPI and card checkout on the parent portal. They pick which lines to pay, pay in full or in part, and see any concession already applied before the money moves.

Target fees precisely

Point a fee line at a whole class, one section, or an entire stream. Mark it required or optional. Transport for one section, lab fees for the science stream — no spreadsheet gymnastics.

Concessions and partial payments

Attach a concession where one applies, and accept payments in parts without losing the thread — the outstanding balance updates itself, per student, per fee line.

Receipts a parent can verify

Every receipt — printed at the counter or generated after an online payment — carries a QR code a parent can scan to check it against the record on file.

The day's total, every day

The daily collection report totals every receipt issued that day, split by payment method — ready to print for a trustee meeting or a front-office handover.

Set it up once. Then it runs the term.

01

Structure

Build your fee lines and point each one at a class, a section, or a stream. Attach concessions where they apply. One sitting, once per term.

02

Collect

The front office takes Cash, UPI, Card, or Cheque at the counter. Parents pay UPI or card from home via Razorpay. Both write to the same ledger — a receipt is issued once, never re-fabricated, never double-recorded.

03

Reconcile

The daily collection report and per-student outstanding tracking replace the register nobody cross-checks. The drawer and the ledger agree before you lock up.

Why the drawer and the ledger can't drift apart

Cash only enters through the counter. Receipts carry their own proof.

Cash is only ever recorded through the admin fee counter — a parent can't self-report a cash payment from the portal. Online payments go through Razorpay checkout, an RBI-authorized gateway. And every receipt, printed or digital, carries a QR code that verifies it against the record on file. A photocopied receipt proves nothing; a scanned one settles the question in seconds.
